Customizations & Special Requests Policy

At Life’s Abri’s, we believe in thoughtful personalization—within reason. While we aim to accommodate individual preferences and special requests, all customizations must fall within the scope of the trip’s structure, budget, and operational feasibility. This policy outlines the types of customizations we may allow, when they must be submitted, and what travelers can expect regarding pricing, availability, and confirmation.

1. What Qualifies as a Customization?

A customization is any modification to a standard itinerary, including:

  • Adding or removing excursions, meals, or services

  • Changing room type or lodging preference

  • Adjusting transfer type (e.g., from group shuttle to private car)

  • Requesting early arrival or extended stay accommodations

  • Submitting specific time windows, dietary needs, or accessibility accommodations

Requests involving hotel loyalty programs, restaurant reservations, or off-itinerary excursions may be considered depending on availability and staff capacity.

2. What Is Not Considered a Customization

Life’s Abri’s is not responsible for:

  • Booking unrelated side-trips not tied to your itinerary

  • Making modifications once the trip is underway (unless due to emergency)

  • Coordinating highly complex multi-country add-ons (unless pre-arranged)

  • Providing unlimited quote options for last-minute preferences

  • Guaranteeing aesthetic, room orientation, or amenity-based preferences (e.g., view, décor, floor level)

We will consider requests, but personal preferences are not guaranteed.

3. Submission Deadlines

To ensure smooth integration into your itinerary, all customization or special request submissions must follow the deadlines below:

  • Group Trips: At least 90 days before departure

  • Custom/Private Trips: At least 60 days before departure

Requests submitted after these windows may not be accommodated and could result in additional fees or itinerary conflicts.

4. Availability & Pricing

All requests are subject to:

  • Availability with third-party vendors

  • Reasonable operational feasibility within the broader group or trip flow

  • Approval by Life’s Abri’s based on impact to the itinerary or budget

Some customizations may:

  • Require payment of an additional planning fee or service charge

  • Affect the trip balance and require early or immediate payment

If your request increases the package value, we will issue a custom invoice. If your request reduces the value or removes a service, refunds are not guaranteed and may be governed by the original booking agreement.

5. Special Needs & Accessibility

We strongly encourage travelers with:

  • Mobility limitations

  • Medical needs

  • Dietary restrictions

  • Religious accommodation requests

To notify us at the time of booking or as early as possible. We will make every reasonable effort to communicate your needs to vendors, but cannot guarantee accommodation unless confirmed in writing by the vendor.

Travelers are also expected to bring necessary mobility aids, medications, and documentation as Life’s Abri’s is not a medical provider and cannot facilitate emergency access to equipment abroad.

6. Dietary Requests

If any meals are included in your package (e.g., daily breakfast, cooking classes, dinner cruises), dietary preferences will be communicated in advance to each vendor. However:

  • We cannot guarantee allergen-free kitchens

  • Vegetarian, vegan, halal, kosher-style, or gluten-free options may be limited or vary by location

  • Travelers are encouraged to self-advocate and carry dietary cards in the local language when needed

7. Roommate Requests & Sleeping Arrangements

Travelers may request a specific roommate or opt for a single room (subject to an additional fee). These requests should be made during the booking proposal stage. Once lodging is confirmed, changes may not be possible and will depend on hotel availability and pricing.

8. Custom Add-Ons: Early Arrivals, Extra Nights, and Extensions

We may be able to assist with:

  • Early check-in accommodations before the group arrival

  • Extra nights before or after your trip

  • Itinerary extensions to nearby destinations

These requests must be submitted at least 90 days in advance and will be treated as a separate invoice or add-on service. We cannot guarantee that the same hotel, guides, or room type will be available beyond the core trip dates.

9. Declined or Infeasible Requests

While we strive to be accommodating, there may be times where:

  • The request cannot be fulfilled due to destination limitations

  • The customization would interfere with logistics or vendor contracts

  • The traveler’s budget does not permit the requested upgrade

In such cases, we will offer alternatives if possible, or kindly decline the request. We appreciate your understanding as we balance personalization with consistency and feasibility.

10. Limitation of Liability

Life’s Abri’s is not responsible for:

  • Third-party vendors failing to honor confirmed customizations

  • Allergic reactions or health complications due to vendor food service

  • Traveler dissatisfaction with custom changes that were requested and approved

  • Delays or issues caused by traveler-requested deviation from the main itinerary

We will document and confirm approved requests in writing when applicable. However, last-minute changes or add-ons made independently by the traveler are done at their own risk and cost.
